Two quotations for the same filter name may cover different supplies. One can include a gasket while another prices only the filter element. Comparable quotations start with one request document, issued to every supplier at the same revision.

List the site, air handling unit reference, filtration stage, existing part number, outside dimensions and quantity. State the dimension order as width × height × depth and use mm. A photograph of the old label helps identify the element, but measuring a worn filter does not replace an approved installation drawing.

State the filter class together with its standard. Explain whether the design airflow applies to each filter or the whole unit. Any requested initial pressure drop must have a corresponding airflow. For a legacy classification, request relevant test evidence rather than assuming an exact conversion to a newer standard.

Include frame material, gasket position, seating surface, flow direction and the housing drawing where available. Record delivery address, requested date, packaging, split deliveries and quotation validity separately. A requested delivery date becomes a commitment only when the supplier confirms it.

Leave unknown fields clearly identified. Ask suppliers to list assumptions and technical deviations. If the class is known but the seal geometry is missing, make drawing approval a condition before ordering. Compare the confirmed technical scopes first, then assess price and delivery. This keeps an apparently attractive offer from hiding an unresolved interface.

Example: When a unit contains four elements, record total airflow and airflow per element separately. If the seal is unknown, request the housing drawing instead of writing “suitable for the existing unit”. This is a method for closing an information gap, not a product performance specification.
