Ordering the correct filter does not guarantee that the delivered element is ready for installation. Receiving should check product identity, physical condition and agreed documents together. This exposes discrepancies when the shipment arrives instead of on installation day.

Record the purchase order, arrival date, box count and visible packaging damage. Photograph crushed or wet packaging and note the findings in the receiving record. An intact box does not by itself establish that the filter media inside is undamaged.

Compare product code, dimensions, class and quantity with the order line. Check that any agreed test document identifies the relevant model, batch or serial number. A general catalogue sheet should not replace an individual test record specified in the order. The required document set depends on the agreed supply scope.

Follow the manufacturer's handling instructions and support the frame rather than pressing on the media. Look for visible tears, distorted frames and damaged seals. Visual inspection is not a performance test. Segregate questionable items, record the reason and contact the supplier before they are released for use.

Retain protective packaging until installation and follow the product-specific storage conditions. Respect stacking limits and orientation markings; protect against floor moisture, dust and impact. Molecular filters can require additional packaging precautions. Recheck identity when releasing a filter from storage so it reaches the intended unit.

Example: If the label matches the order but one box contains a dented frame, isolate that element from accepted stock. Assess other boxes separately. A photograph, product identity and delivery note together make the affected item clear when the discrepancy is reported to the supplier.
