Installing one sample in a housing does not approve every future supply. Sample review applies to a defined product, drawing revision and operating condition. Before repeat purchasing, record what was checked and which issues remain open.

State part number, drawing revision, quantity, class and requested documents. Identify the unit used for the trial. Confirm sample charges, shipping terms and timing separately. This workflow does not imply that Safe Air offers samples or a particular lead time for every product.

Check outside dimensions, depth, seal position and frame condition. Then assess seating, retainer compatibility and maintenance access. Do not force an element into place. A successful fit does not establish the filter class or prove the installed system's integrity.

Match agreed reports to product identity. Conduct any required site acceptance checks under the applicable procedure. Record measurement conditions and methods. Do not describe visual inspection as performance testing; each result should have a clear basis.

Identify the accepted part, drawing, deviations and approving person. If issues remain, state the conditions for repeat-order release. Include how later product or material changes will be communicated and reviewed. Approval then rests on a reusable technical record rather than a sample photograph or an informal recollection.

Example: A sample passes dimensional and seating checks, but an agreed report is still missing. Record “fit accepted, document acceptance open” rather than “approved”. A limited statement prevents the next order being released under a broader scope than the review supports.
